Sales Vehicle Administrator

We are currently recruiting for a Sales Vehicle Administrator to join a busy and established motor dealership.
This is an excellent opportunity for an organised and detail-focused administrator with previous motor dealership experience to take responsibility for the accurate and efficient administration of vehicle sales, stock, invoicing, funding and associated processes.
The successful candidate will work closely with Sales, Accounts, finance providers and other internal departments, supporting the smooth progression of vehicles from acquisition through to sale.
Key Responsibilities
•Manage accurate records for new and used vehicle stock across multiple vehicle brands.
•Monitor vehicle movements, stock status and vehicle records.
•Prepare and process vehicle invoices accurately and within required timescales.
•Administer additional products and services associated with vehicle sales.
•Complete and monitor government grant applications relating to eligible electric vehicles.
•Raise vehicle settlement requests and prepare supporting documentation.
•Process administration relating to direct vehicle purchases.
•Manage vehicle funding administration and liaise with finance companies where required.
•Administer fully paid vehicles and ensure payments and documentation are correctly reconciled.
•Liaise closely with Sales, Accounts, finance providers and suppliers to resolve queries and discrepancies.
•Ensure all vehicle and sales documentation is complete, accurate and up to date.
•Maintain high standards of confidentiality when handling customer and financial information.
•Support the wider Sales and Accounts functions with general administration.
•Identify opportunities to improve administrative processes and efficiency.
•Manage multiple priorities and deadlines within a fast-paced dealership environment.
About You
The ideal candidate will have:
•Previous administration experience within a motor dealership - essential.
•Excellent attention to detail and a high level of accuracy.
•Strong organisational and time-management skills.
•Good numerical and financial awareness.
•Confidence using Microsoft Office and dealership management systems.
•Strong communication skills, both written and verbal.
•The ability to work independently while also being a strong team player.
•The ability to manage a high volume of administration and competing priorities.
Desirable Experience
•Vehicle sales administration experience.
•New and used vehicle stock administration.
•Vehicle funding or finance administration.
•Vehicle invoicing and manufacturer processes.
•EV government grant applications.
•Working closely with an Accounts or Finance department.

We are looking for someone who is highly organised, commercially aware, proactive and dependable, with the ability to work accurately under pressure.
You will be comfortable managing a high volume of vehicle administration and confident communicating with Sales Executives, Sales Managers, Accounts teams, finance companies and other stakeholders.
Previous motor dealership administration experience is essential for this position.
