The successful candidate will provide high-quality administrative and medical secretarial support to our clinical and administrative teams, helping to ensure the smooth and efficient running of the practice. You will provide a varied range of administrative and medical secretarial support, including managing clinical correspondence and referrals, supporting clinicians, processing workflow and accurately read-coding relevant information into patients electronic healthcare records.

The successful candidate will provide a high-quality medical secretarial service, supporting GPs and clinicians with the efficient management of patient-related administrative processes.

Duties will include preparing and processing clinical correspondence, referrals, reports and other medical documentation. The post holder will be responsible for processing and tracking referrals, investigations and hospital correspondence, liaising with secondary care providers and other healthcare professionals where appropriate.

The role will also involve monitoring and actioning incoming correspondence, scanning and filing clinical documents, allocating tasks to the appropriate clinician or team member, and following up outstanding actions where required. The post holder will ensure that confidential patient information is handled appropriately and in accordance with practice policies, information governance requirements and data protection legislation.

In addition, the successful candidate will carry out workflow processes and accurately read-code relevant information into patients electronic healthcare records, in accordance with the practices coding policy and agreed procedures. Attention to detail and an understanding of medical terminology will be essential to ensure that clinical information is recorded accurately and consistently.

Secretarial Opening Incoming post, internal and external, date stamp and circulate as appropriate. Sending outgoing post, internal and external, as required Typing GP referral letters and general correspondence, using eRs Typing Agendas and Minutes as required General typing, such as posters, leaflets, protocols etc., as required.

Liaise with various hospital departments/secretaries regarding patient appointments/results/letters etc. as required. Use ICE to obtain results/clinic letters/appointment details etc. as required.

Deal with patient enquiries regarding hospital appointments etc. Maintain the Private Fees Account, keeping a record of requests, responses, and payments in Deal with requests from Solicitors/Insurance Companies/Employers for Medical Reports, PMA Reports, copies of records etc.; prepare documentation as required; liaise with GPs to ensure a response; complete and send off. Deal with requests from Insurance Companies or individual patients for medicals; book appointments and liaise with GPs; sendoff reports.

Deal with sundry and private fees payments coming in; enter on Private Fees Account and prepare regularly for banking. Devise protocols for secretarial duties Monitor the practice NHS.net email inbox throughout the day.

Review and action incoming emails promptly. Forward emails to the appropriate staff member when required.
