Role overview

We are looking for a friendly, professional and patient-focused Receptionist to join our busy general practice team. As a Receptionist, you will be one of the first points of contact for our patients and will play an important role in providing a welcoming, efficient and high-quality service.

You will undertake a wide range of reception and administrative duties, including greeting and assisting patients, managing appointments, handling telephone and online enquiries, processing patient information accurately and signposting patients to the appropriate services. You will work closely with GPs, nurses, healthcare professionals and the wider practice team, ensuring that messages, information and enquiries are dealt with promptly and appropriately.

The role also involves supporting patient registration, clinical administration and other practice processes as required. We are looking for someone who has excellent communication and interpersonal skills, a clear and polite telephone manner, good organisational skills and the ability to remain calm and professional in a busy environment .

Previous experience working with the public and in an administrative or healthcare setting would be beneficial. This is an excellent opportunity for someone who enjoys working with people and wants to make a positive contribution to the patient experience within primary care.

Maintain accurate patient records and undertake data entry and registration duties. Process and distribute messages, information and correspondence to the clinical team.

Liaise with patients, practice staff and external healthcare providers. Provide general administrative support to GPs, nurses and the wider multidisciplinary team.

Support clinical administration, including scanning, document management and repeat prescription processes. Maintain confidentiality and comply with practice policies, safeguarding requirements and information governance.

Work collaboratively as part of the wider practice team and contribute to the delivery of high-quality patient care. Undertake other reasonable duties in line with the needs of the practice.

Primary key responsibilities Provide a friendly, professional and efficient reception service to patients and visitors. Answer telephone calls, deal with enquiries and signpost patients to the appropriate service.

Book, amend and cancel appointments using the practice appointment system. Process face-to-face, telephone and online patient requests, including supporting total triage administration.

Accurately update patient records and process new and temporary registrations. Maintain confidentiality and comply with GDPR, information governance and practice policies.

Liaise with GPs, nurses, administrative staff and external healthcare services as required. Process and direct patient correspondence, referrals, forms and requests for information appropriately.

Support repeat prescription administration and other routine reception and administrative duties. Recognise and appropriately escalate safeguarding concerns or matters requiring clinical or managerial input.

Maintain a professional, organised and welcoming reception environment. Work collaboratively as part of the wider practice team and contribute to the smooth running and continuous improvement of the service.
