Role overview

Bourne Health is a leading Primary Care NHS (National Health Service) GP (General Practitioner) Partnership. The Administration team provides administrative support to the clinical and non-clinical teams.

They support the clinical team by coding medical records as directed. They support the non-clinical team by overseeing registrations and deductions and providing administrative support across all areas of Practice Administration.

As a Patient Administrator, you will be responsible for a variety of tasks including handling patient queries, managing clinical correspondence, maintaining accurate records, and supporting appointment and referral processes. You will work closely with GPs, nurses, and the reception team to help deliver efficient and compassionate primary care services.

Key Responsibilities: Scanning Scan and file all incoming paperwork onto patient records Check scanning for duplicates to ensure only one copy of documents is placed on patient records Using the agreed scanning protocol, assign documents into the relevant folders to be actioned by the appropriate team members Electronic Document Transfer Administration File all EDTs into the Emis patient records Using the agreed protocol, assign EDTs into the relevant folders to be actioned by the appropriate team members Ensure all EDTs are filed and assigned within a suitable timeframe Registrations Oversees all aspects of Patient Registrations Manages the automated system of patient registrations Inputs patient registrations from paper forms Ensures all patient registrations are actioned in a timely manner Ensure the appropriate safeguarding alerts are actioned Manage any alerts that are highlighted after a patient registration Manages GP2GP note transfers Patient Deductions Oversee all aspects of patient deductions Patient Notes/Records Administration Receiving patient notes from PCSE Ensuring Notes are sent back to PCSE as required Ensuring EMIS is kept up to date with the whereabouts of the patient notes Scanning patient notes onto EMIS in a timely manner Patient Details Administering all Patient changes of details Ensure EMIS is up to date with patient changes of details Clinical Coding Code medical records as directed by the clinical team and pharmacy team Private Medical Administration Oversee and manage all the private medical administration Ensure all work is done in a timely manner Ensure payment is received before work is carried out Reception Provide cover on reception as required Support the administration of reception duties, as required Patient Screening Programmes Manage and oversee Patient screening programmes: Bowel, Breast, cytology and any other relevant programmes Ensure non-responders are contacted to encourage participation Baby Clinics Oversee and manage the appointment booking for new baby checks Liaise with patients to ensure these appointments are booked in Administration Functions Provide administrative support as needed Provide Administration cover when required to ensure smooth practice operations. Carry out any administrative duties as required by the practice Assist with Quality of Framework (QoF) and other clinical recalls as appropriate This list is not exhaustive, and all team members should be prepared to accept additional duties or surrender existing duties to enable the efficient running of the organisation Your individual job plan will be agreed with your line manager.
