Role overview

As a GP Receptionist, youll be one of the first friendly faces and voices our patients meet. Youll play a vital role in helping our practice run smoothly, providing a welcoming, professional and compassionate service to patients every day.

We are looking for someone who is friendly, organised, calm under pressure and a great communicator , with a genuine desire to help others. Your key responsibilities will include: Welcoming patients to the practice in a friendly, professional and respectful manner, both in person and by telephone.

Managing appointment bookings , helping patients access the most appropriate service or clinician in line with practice procedures. Answering and responding to telephone calls , dealing with queries efficiently and directing patients to the appropriate team or service.

Supporting patients with a range of enquiries , providing clear information while maintaining a calm and compassionate approach. Processing administrative tasks , including updating patient records, registering patients, managing tasks, filing documents and handling correspondence as required.

Liaising with GPs, nurses, healthcare professionals and the wider practice team to ensure patients receive the right support. Handling sensitive and confidential information appropriately and in accordance with GDPR, practice policies and professional standards.

Supporting the smooth running of the reception area , including maintaining an organised, welcoming and professional environment. Recognising and appropriately escalating urgent or safeguarding concerns in accordance with practice procedures.

Working as part of a busy, supportive team , helping colleagues and contributing to the continued improvement of our service. Welcome and assist patients in a friendly, professional and courteous manner, both face-to-face and by telephone.

Manage incoming telephone calls, dealing with enquiries appropriately and directing patients to the most appropriate service or member of the team. Book, amend and cancel appointments in accordance with practice procedures.

Support patients in accessing the appropriate clinician or service, following the practice's agreed processes. Provide clear and accurate information to patients while maintaining confidentiality at all times.

Register new patients and maintain accurate and up-to-date patient information. Process incoming and outgoing correspondence and undertake other administrative duties as required.

Liaise effectively with GPs, nurses, healthcare assistants, administrative staff and other members of the multidisciplinary team. Identify and appropriately escalate urgent concerns, safeguarding issues or situations requiring clinical or managerial support.

Handle sensitive and confidential information in accordance with GDPR, practice policies and relevant legislation. Maintain a welcoming, organised and professional reception environment.

Deal sensitively and appropriately with patients who may be distressed, anxious, frustrated or upset. Follow practice policies and procedures, including those relating to confidentiality, health and safety, infection prevention and safeguarding.

Work flexibly across both practice locations when required. Support colleagues and contribute positively to the overall effectiveness of the practice.

Participate in training and development activities relevant to the role. Contribute to the continuous improvement of patient services and the smooth running of the practice.
