Role overview
Were looking for a proactive and organised Rota Administrator to support our team with the smooth scheduling and coordination of staff across multiple sites. with administrators working on a weekly rotation (3 to 4 days each time) to ensure full coverage and continuity. Working hours: 7am to 7pm.
This role is ideal for someone with excellent attention to detail, strong communication skills, and the ability to manage competing priorities in a fast-paced environment. Manage and maintain staff rotas, ensuring adequate cover across all shifts (MondaySunday).
Liaise with team members to confirm availability and book shifts in line with service needs. Coordinate last minute changes, sickness cover, and shift swaps efficiently.
Support recruitment activity by assisting with onboarding and shift scheduling for new starters. Provide occasional support to the Logistics team to ensure all sites and set-ups have the resources, equipment, and information they need to operate smoothly.
Liaise with the Service Department to coordinate activities, share updates, and maintain clear communication across teams. Communicate clearly with internal teams and external stakeholders regarding rota updates or changes.
Maintain accurate and up to date records of hours worked and shift allocations. Collaborate effectively with your job share counterpart to ensure seamless handovers and consistent service.

Contribute to process improvements to ensure effective rota management and workforce planning. Manage the shared Operations inbox, ensuring timely responses and professional communication.
Triage incoming queries to the appropriate teams (logistics, servicing, IT, LCS, bookings). Support the preparation of weekly operational reports shared with senior management and client partners.
