The Office Administrator will be responsible for the smooth day-to-day running of the PCN office environment and administrative functions.
The post holder will coordinate office systems, workforce administration, recruitment processes, governance requirements and staff support activities, contributing to a well-managed and compliant organisation. Main Responsibilities Office and Facilities Management Oversee the day-to-day operation of PCN office facilities, ensuring they are safe, organised and welcoming.
Manage room bookings and coordinate the use of administrative spaces. Liaise with premises providers and contractors regarding maintenance, repairs and service issues.

Order and manage office supplies, equipment and resources. Maintain equipment inventories and coordinate servicing, testing and maintenance schedules.
Support compliance with health and safety requirements, including fire safety, risk assessments and first aid arrangements. Workforce and HR Administration Coordinate recruitment processes, including advertising vacancies, arranging interviews and issuing correspondence.
Assist with onboarding new staff, preparing offer documentation, induction packs and access requests. Support pre-employment checks, including DBS applications, right-to-work checks, references and employment compliance requirements.
Maintain accurate and confidential staff records in line with GDPR, employment legislation and CQC requirements. Monitor annual leave, sickness absence and workforce records, escalating issues where appropriate.
Maintain records relating to mandatory training, professional registration, occupational health and staff vaccinations. Support workforce planning, staff wellbeing initiatives and learning and development activities.
Assist with the development and maintenance of an annual PCN training programme. Governance and Compliance Support compliance with CQC standards and PCN governance requirements.
Maintain policy, procedure and operational documentation, ensuring version control and accessibility. Assist with internal and external audits and provide evidence and documentation as required.
Ensure information governance, confidentiality and data protection requirements are adhered to at all times. Support the implementation and review of policies and procedures across the organisation.
Administrative and Operational Support Organise and minute Board meetings, leadership meetings and other PCN forums. Manage PCN-wide communications, ensuring information is shared effectively with practices and staff.
Process staff expense claims and maintain associated records. Act as a key point of contact for PCN staff, practices and external stakeholders.
Provide administrative support to service developments, projects and operational initiatives. Provide support covering reception at our weekly Health Hub.
Service Support and Improvement Work with clinical and operational colleagues to support the smooth delivery of PCN clinics. Coordinate resources, space and equipment to support efficient service delivery.
Identify opportunities to improve administrative systems, processes and staff experience. Contribute to service improvement projects and the development of efficient ways of working.
