Job description
My client a boutique law firm are seeking a Billing Assistant to support our finance team on an initial six-month fixed term contract. This role is crucial for ensuring the accurate and timely preparation of client invoices and offers an excellent introduction to legal billing practices within a supportive environment.
Day-to-day of the role:
Billing Preparation and Processing:
Prepare draft bills for fee earner review, ensuring alignment with client agreements and billing guidelines.
Finalise and issue bills to client's post-approval, manage client-to-office transfers, and handle credit notes and adjustments.
Disbursement Management:
Record, verify, and process disbursements with correct VAT treatment, and resolve any related queries.
Client-specific Billing Requirements:
Prepare and submit invoices through client billing portals in required formats, ensuring compliance with specific billing arrangements.
Billing Administration and Record Keeping:
Maintain accurate billing records and schedules within the practice management system and ensure clear audit trails by filing invoices and supporting documentation.
System Maintenance and Data Quality:
Maintain accurate client and matter data, support system updates, and test new billing functionalities.
Month-end and Reporting Support:
Assist with month-end billing runs and revenue reporting, and coordinate billing schedules to meet deadlines.
Required Skills & Qualifications:
Previous legal billing or accounts experience, ideally within a professional services or legal environment.
Minimum education: GCSE level in English and Maths; A-Level or relevant qualifications are desirable.
Understanding of time recording, billing principles, and VAT in the context of legal services.
Proficiency in Microsoft Excel, Word, and Outlook; familiarity with e-billing systems and client portals.
Excellent communication skills, strong numeracy, and a high attention to detail.
Ability to prioritise multiple tasks, meet tight deadlines, and remain calm under pressure.
