Key Responsibilities:
Front of House & Client Services
Welcome clients, visitors, and guests in a professional and friendly manner.
Ensure the reception area is well-presented, organised, and reflective of the company's professional standards.
Manage visitor sign-in procedures and notify relevant staff of arrivals.
Prepare meeting rooms and refreshments for client meetings when required.
Provide an exceptional first impression for all clients and visitors.
Telephone & Enquiries Management
Answer, screen, and direct inbound telephone calls efficiently and professionally.
Manage the company enquiries inbox, ensuring all enquiries are responded to or directed appropriately and within agreed timeframes.
Take accurate messages and ensure prompt follow-up by the relevant department.
Handle general client and visitor enquiries both in person and via telephone and email.
Administration Support
Assist with general office administration duties.
Maintain and update company databases and records accurately.
Generate and distribute standard correspondence when required.
Assist with the coordination of meetings, appointments, and office schedules.
Support the wider administration team with ad hoc administrative tasks.
Maintain office supplies and assist with ordering stationery and refreshments.
Office Operations
Help ensure the office environment remains professional, organised, and efficient.
Liaise with suppliers, contractors, and service providers as required.
Undertake additional duties as requested by management to support the smooth running of the office.
Experience and Skills Requirements
Essential
Previous experience in a receptionist, front-of-house, customer service, or office administration role.
Excellent verbal and written communication skills.
Professional, polished, and confident manner.
Strong telephone etiquette and customer service skills.
Excellent organisational skills and attention to detail.
Good working knowledge of Microsoft Office, including Outlook, Word, and Excel.
Ability to multitask and prioritise workload effectively.
Reliable, professional, and highly presentable.
Desirable
Experience working within a professional services or financial services environment.
Experience using CRM or client management systems.
Understanding of confidentiality and data protection requirements.
